The manual entry of the partner company is only required in special cases since it is normally transferred from the master record of one of the accounts included in the document.

The ‘Partner Company Ready for Input’ indicator should be considered together with the indicator ‘Cross-Company‘.

The functions of ‘Partner Company Ready for Input’ and ‘Cross-Company’

Indicator ‘Partner Company Ready for Input’ set, indicator ‘Cross- Company’ not set:

The partner company can be entered for the whole document. However, you can only do this for pure G/L account postings where there is no partner company in the account master record (otherwise the partner company from the master record is used). The partner company entered at document level is copied into all line items.

Indicators ‘Partner Company Ready for Input’ and ‘Cross-Company’ both set:

Documents can be posted cross-company and you can enter the partner company for G/L account items manually. the partner company is enterd at item level via ‘Extras -> Additional Data’.

Document types are created for customer, vendor and general ledger business transactions in SAP Financial Accounting. The document types in SAP differentiate business transactions and control filing.

A number range is specified for each document type. Document numbers are chosen from this number range. One number range can be used for several document types.

Contol Data of Document Types Setting:

• Net document type indicator
• Cust/vend check
• Negative Postings Permitted
• Inter-company postgs
• Enter trading partner

Net document type:

Select this indicator to have the SAP system automatically deduct cash discounts from vendor invoices that are posted with this document type.

Negative Postings Permitted:

Indicates that individual line items can be marked as negative postings. Once a document is posted in Financial Accounting in SAP system, the SAP system updates the transaction figures. If this indicator is set, you can use this document type to reverse incorrect postings item-by-item by making negative postings and thus eliminate their effect on transaction figures.

Inter-company postgs:

Indicator set at document type level. It defines that within a document, account assignment can be cross-company. This means that:

• Accounts are assigned to several trading partners.
• Accounts are assigned to one or more trading partners and one group-external business partner.
• It follows that the trading partner is not unique per document.
• The company ID defined in the master record for this affiliated business partner cannot be transferred to all line items.

Enter trading partner:

Indicates that for postings with the document type selected, you can enter the partner company manually.

The following step will give you explanation on “how to create a tax code in SAP“. Afterwards these tax codes must be used in the creation of condition tables such as for MWST condition.

• Go to SAP transaction code: FTXP and select the country for which you need to create a tax code.This country is automatically linked to the Tax Procedure which has been set up in the following SAP menu path

SAP IMG – Financial accounting – Financial accounting global settings – tax on sales/purchases – basic settings – Assign country to calculation procedure

• Enter in the field tax code. This must be a 2-digit alphanumeric code i.e. A5, 55, BB, etc.. SAP will ask you to complete other additional fields such as:
  • define the tax type: define whether the tax code is relevant for input or output tax
  • description of the tax code: please give a clear description
  • Indicator which determines that an error message should be issued if the tax amount is not correct. It it recommended to flag this.
  • Eu code: One of the most forgotten parameter. If you do not set this parameter at “1″ then all SAP transactions with this code will be not picked up in the ESL listing of that specific country. This code “1″ represents all the Sales from one EU country to another EU country.
  • The target tax code fields are used in case of deferred taxes. This is applicable for example in France. The VAT needs to be paid for example not when the invoice is issued but when the customer pays the VAT. There are here again special programs available in SAP for deferred taxes.
  • Reporting country: this field needs to be completed when you are using the plants abroad functionality. This means that when you as a German company have a Belgian VAT number and you have sales in Belgium (+ you need to submit a VAT return in Belgium) , then of course these invoices need to be booked in SAP with a Belgian tax code.

 

• Further in the menu you can also allocate the amount where this specific tax code is used to a certain tax account. The tax type fields such as Base Amount, Input tax, Output Tax … can be determined via the calculation procedures. Calculation procedures are defined in the SAP IMG at
  

  Financial accounting – Financial accounting global settings – tax on sales/purchases – basic settings – Assign country to calculation procedure

  Here you will need to define also the calculation levels. For example the Output tax is level 125 and the output tax will be calculated on the basis of the base amount. Therefore you put for the output tax in the field “from level” 100. The level of Base amount is 100. You do the same for the others.

• Account Keys.
  NVV: The non deductible VAT is automatically added to the expenses account
  NAV: Indicate for this key a separate account for the non deductible VAT
  ESA: Output tax in case of Acquisition of EU goods
  ESE: Input tax in case Acquisition of EU goodsLast but not least you also need to complete the tax rate field.

• Tax Percentage & GL Account assignment

Tax percentage can be maintained in two ways & that depends upon the Tax procedure that has been followed i.e. if tax procedure is formula based then percentage can be maintained in FTXP only, where as if the procedure is condition based then percentage has to be maintained under the identified condition type.

Once done GL accounts has to be assigned under OB40 transaction for automatic posting of tax amounts.

When you select open items within clearing procedures, the amount in local currency is recalculated as at the translation date/clearing date from the foreign currency amount.

The local currency amount is not transferred from the document (BSEG-DMBTR).

For example:

Local currency is THB
Open item of 1,000 USD (35,500 DEM when posted)
Clearing in local currency THB
Exchange rate at clearing date: 1 USD = 36 THB

- Equivalent at clearing date: 1,000 USD = 36,000 USD
- OI display: 36,000 USD

The solution is we have to set flag ‘No exchange rate differences for clearing in local currency’ through SAP Configuration (Transaction code: OBY6).

• whether the number is assigned internally by the SAP system or externally by the user manually (type of number assignment)
• whether it is a one-time account
• which fields are ready for input or require filled when creating and changing master records (field status)

Note:

When creating new account groups in the SAP system, do not forget to maintain the field status. Otherwise all corresponding fields are shown.

Caution:

You may only delete an account group from the SAP system if there are no master records referencing this account group. Otherwise you can no longer display or change the master record.

Place of business in Thailand means a place regularly used by a supplier for conducting his business and includes a place regularly used for manufacture or storage of goods. If companies register into the VAT system with several places of businesses, it is required by law that they have to book and report their VAT transactions separately by their registered locations.

In SAP, you can customize your place of business by using the SAP organization unit called Business Place or Branch. This SAP organization unit is designed intentionally to support the process of booking/reporting all VAT transactions.

In this SAP step, you define SAP accounts which show the posting of a corresponding special G/L transaction to the general ledger. The postings are made to these accounts instead of to the normal reconciliation account.

Note: The specification is dependent on account type, special G/L indicator, chart of accounts and reconciliation account.

Activities are as follows:

1. Specify the number of the alternative reconciliation account.
2. Make sure that the account is created in SAP system.

2. Define Accounts for Automatic Offsetting Entry

In this SAP activity you define the G/L accounts to which the SAP system posts the offsetting entry for specific special G/L transactions, for example, guarantees or bills of exchange.

The account specification is differentiated by the chart of accounts and a key that contains the account type and the special G/L indicator.

Activities are as follows:

1. Specify the accounts for the necessary SAP transactions. Only change the posting keys if you are not using the posting keys delivered with the system.
2. Make sure that the specified accounts are created in the SAP system.

Exch. Rate Diff. using Exch. Rate Key(KDB) can be done for SAP GL accountswhich does not have open item managed accounts. It will not work for GL accounts which be open item management. Exch. Rate Diff. using Exch. Rate Key(KDB) is used for balance valuation.

If the GL account is open item managed account then we have to assign exchange rate difference account (gain and loss account) through Exchange Rate Dif.: Open Items/GL Acct (Transaction Key: KDF)

Note: Key for Exchange Rate Differences in Foreign Currency Accts in SAP (KDB)
Key for account determination in valuating foreign currency amounts posted to balance sheet accounts.

For the valuation of foreign currency balances, the SAP system uses this key to find the accounts for gains and losses from the valuation. You specify which accounts valuation differences are to be posted to under the exchange rate difference key in the SAP system.

Default Values for Enjoy Postings

SAP introduced a simplified way of posting called ‘Enjoy‘ posting.

Enjoy postings are more user friendly than the standard postings (now called Complex or General postings) not only because of a simplified data entry screen but also because of defaulted document type and posting keys for multiple line items.

Unlike the default posting keys in a Complex Posting, the defaulted posting keys in an Enjoy Posting cannot be changed.

The defaults for posting keys and document types have to be defined in SAP IMG Configuration.

The document types are defined per company code, account type and possibly transaction (e.g., invoice, credit memo).

The posting keys are defined according to the transaction (G/L account posting, outgoing invoice, incoming invoice, etc.) and the item within the transaction (customer, vendor, G/L).

When posting a vendor invoice net, the SAP system posts the expense net, without tax and cash discount line items. Net vendor invoices can only be posted if a special Document Type marked as “Net Document Type” (standard Document Type KN) is used.

If Sales and Distribution (SD) is being implemented, a Document Type to transfer customer Billing Documents from SD to FI is needed. When using both modules, generally the SD module creates the customer bill (invoice). This information must be recorded in FI for reporting purposes and for accounts receivable tracking.

 A House Bank is any banking institution with which the organization conducts business. The House Bank contains the company’s funds.

• House Banks for each Company Code are created using a user-defined five character code.

For each House Bank, the Bank Country must be identified in which the bank is located, as well as a unique Bank Key.

The Bank Key is a unique country-specific code. The system uses the combination of Country Code and Bank Key to identify the House Bank.

Each House Bank can have multiple SAP Bank Accounts created within it, each identified by a unique code containing up to 18 characters.

Note: The length of both the Bank Key and the Bank Account numbers is a country specific configuration.

• Document entry screen variant needs to leave as blank.In SAP 4.6C or higher, Thailand is using the functionality of extended withholding tax, therefore there is no need to set this field as 2 anymore. This field should be leave as blank.
